Destination weddings: choose a place, then make it easy
A practical destination-wedding guide to guest budgets, travel, ceremony choices and questions for the venue.
Choose a destination because it suits the life and celebration you want, then check whether it works for the people you hope can attend. A beautiful setting matters less if the trip creates avoidable stress for everyone.
A LITTLE PLAN. A LOVELY MEMORY.
Your four-step plan
- 01
Choose the experience
Beach, city or intimate retreat.
- 02
Price the whole trip
Include the guest perspective.
- 03
Check requirements
Travel and legal ceremony.
- 04
Build in breathing room
Arrive early and leave free time.
Start with a guest reality check
Estimate airfare or driving, transfers, room nights, meals and time away from work. Compare at least two lodging choices and avoid making attendance sound like a test of friendship. Explain which events you are hosting and what guests would pay for themselves.
For an intimate celebration, a Florida coastal hotel or garden venue may reduce travel complexity for local guests. For a larger overseas gathering, flight routes and mobility needs can matter as much as the view.
Compare destinations by experience
Coastal Florida suits a short celebration with beach time and local family. A historic-city wedding pairs a ceremony with a walkable dinner and architecture. A mountain or countryside retreat can feel private, but transfers and weather need more planning.
These are styles to investigate, not endorsements of a particular wedding package. Visit if possible, or request a live venue walkthrough showing the ceremony area, backup room, accessible routes and where ordinary guests actually stay.
Separate the legal marriage from the celebration plan
Marriage requirements differ by country. Before deposits, ask the relevant local authority about documents, translations, residency, witnesses, officiants and certificate procedures. U.S. embassy staff do not perform marriages abroad.
Some couples complete the legal marriage at home and hold a symbolic ceremony at the destination. The U.S. State Department describes this option; confirm your own requirements with the relevant authorities. Do not rely on a resort sales page as legal advice.
Ask the venue these questions
Request a written, itemized proposal with clear currency and payment terms.
- How many rooms or nights must we guarantee, and what happens if guests book fewer?
- Which vendors are included, and are outside vendors allowed?
- What is the full weather backup, and who decides when to move indoors?
- What are taxes, service fees, transfers, cleanup and overtime charges?
- What happens if travel is disrupted or the date changes?
- Which activities are optional, and how can guests opt out comfortably?
A relaxed three-day shape
Day one: arrive, settle in and share an optional welcome meal. Day two: ceremony and celebration with plenty of preparation time. Day three: a casual goodbye breakfast, then independent travel. Leave at least one long free block rather than scheduling guests from breakfast to bedtime.
For international travel, check passport validity, entry requirements and current destination advisories before booking. If you compare insurance, read covered reasons and exclusions; do not assume every disruption is covered.
Good to know
Can we make this simpler?
Yes. Choose one activity you both enjoy, one thoughtful detail and a comfortable end time. The planning examples are suggestions, not packages or promises of availability.
